Digital Waste Tracking Software · Compliance-First

Run the whole operation — and stay compliant — from one system

AxiWaste is digital waste tracking software that connects sales, dispatch, intelligent route planning, skip hire, your drivers and your Waste Transfer Notes into a single platform — so every collection is scheduled, costed and reported for DEFRA Digital Waste Tracking without anyone re-typing a thing.

Now onboarding UK waste operators.

Compliance, visualised

From kerbside to compliant — one connected loop

Follow the fleet round the loop: collections in town, the weighbridge at the transfer station, and a Waste Transfer Note submitted to DEFRA — the same journey AxiWaste runs for real, drawn as one living scene.

Digital Waste Tracking is now in force for permitted waste receiving sites in England and Wales, with Northern Ireland and Scotland following in January 2027 and waste carriers, brokers and dealers next. Read what's changed and who's next.

AxiWaste at a glance

Key facts

What it is

Waste management software covering sales, dispatch, intelligent route planning, skip hire, a driver app, digital Waste Transfer Notes and DEFRA compliance in one system.

Who built it

Axithorn, a UK Zoho Premium Partner, is on Defra's GOV.UK list as "Axithorn | Axiwaste". Defra has confirmed that the providers on that list meet the digital waste tracking requirements.

Regulatory status

Digital Waste Tracking is now mandatory for permitted receiving sites in England and Wales (from 1 October 2026), with Northern Ireland and Scotland from January 2027.

How it's priced

Office and driver seats are priced separately, so a five-vehicle yard and a two-hundred-vehicle enterprise or local-authority fleet each pay for what they use. Contact us for a quote.

Why AxiWaste

The questions operators ask us most, answered up front

Four things we hear at every waste industry event we go to — so here's where we stand on each.

Live fast — start simple

You don't need the full platform on day one. We can get a simple, working system in front of your team fast — bookings, digital WTNs and DEFRA submission ready for Digital Waste Tracking — then add route planning, the driver app or asset tracking once you're compliant and live.

Bespoke to your organisation, not off-the-shelf

AxiWaste isn't a fixed, one-size-fits-all package like some other providers. It's built on Zoho's application platform, so forms, workflows, approvals and reports can be shaped around how your organisation actually operates — not the other way round. See how a bespoke build works.

Integrates with what you already use

Already invoicing through Xero, Sage or QuickBooks, or running another package for part of the business? AxiWaste can integrate with your existing finance and business software so it plugs in alongside it, rather than forcing you to rip it out and replace it.

Liquid and chemical waste, handled correctly

Not everything is measured in tonnes. Liquid waste can be logged and reported in cubic metres rather than weight, and chemical and other hazardous waste streams follow their own classification, consignment-note and regulatory requirements — handled natively, not forced through a general-waste workflow.

The status quo

Paper WTNs and disconnected spreadsheets don't survive contact with a regulator

Duty of care, held together with hope

Carrier licences checked once at onboarding and never again. EWC codes guessed by whoever's filling in the note. No evidence trail if the Environment Agency ever asks.

The same job, typed three times

A booking taken by phone, re-keyed into a routing spreadsheet, then re-keyed again into the accounts package. Every re-key is a place for a job — or a charge — to go missing.

Routes planned on local knowledge

No system knows a tip closes at 3pm, that a vehicle's tail lift is booked out, or that a container's already been dropped at that site. So routes get planned the way they always have — by memory.

The platform

One operational record, from the enquiry to the tip

Six connected stages, built as one system rather than six separate tools stitched together after the fact.

01 · Sales & CRM

Leads, quotes and account management in one system — so a signed contract turns straight into a live recurring collection schedule, with no export, no re-keying, no gap between sales and ops.

02 · Dispatch & scheduling

Drag-and-drop allocation of jobs to vehicles and drivers, recurring commercial schedules that generate themselves, and same-day changes that don't require a phone tree to resolve.

03 · Intelligent route planning

Automated route optimisation per vehicle against weight limits, container type, tip-site opening hours and collection windows — and, uniquely, against each disposal site's gate fee, so the optimiser picks the cheapest legal tip, not just the nearest one.

04 · Driver app

Offline-capable navigation, one-tap job confirmation, photo evidence at every lift, and structured exception reporting when a pickup fails — so the office knows why before the driver's even left the site.

05 · Compliance engine

A digital Waste Transfer Note generated on completion, an EWC code assigned to every waste stream, and a submission queued to DEFRA's Digital Waste Tracking Service.

06 · Invoicing & analytics

Invoices raised automatically the moment a job completes; live dashboards on job profitability, route efficiency and compliance status — not a report you wait for at month-end.

See it in action

Inside the AxiWaste operations platform

Real screens from the platform: the dispatch console your office runs from, the weighbridge and financial reporting behind every load, and the live map your customers and drivers see in real time.

AxiWaste Dispatch Console showing today's routes across four drivers, job status and completion progress

Dispatch console — every driver, every route and every job on one live board. Optimise routes in one click, and see failed pickups the moment they happen.

AxiWaste weighbridge overview showing today's and this month's ex-VAT and inc-VAT revenue, trades in and out

Weighbridge & daily report — every ticket in and out, reconciled against ex-VAT and inc-VAT revenue in real time, so today's numbers and this month's trend are always one click away — no waiting for month-end.

AxiWaste live route map showing GPS-tracked stop-by-stop progress for a driver's route

Live route map — GPS-tracked progress stop by stop, with live ETA, completed/pending status per drop, and an automatic feed back into the compliance engine as each job closes out.

The compliance engine, in detail

How one collection becomes one compliant, auditable record

This is the part every other system bolts on afterwards. In AxiWaste, it's the reason the rest of the platform exists.

Step 1 · Lift confirmed

Driver confirms the collection in the app; weight is captured from a weighbridge ticket, a container-size default, or logged manually.

Step 2 · Waste classified

The correct EWC (European Waste Catalogue) code is assigned per waste stream from your own catalogue, with hazardous streams flagged automatically.

Step 3 · WTN generated & signed

A digital Waste Transfer Note is rendered, carrier and disposal-site details attached, and signed electronically by driver and site.

Step 4 · Submitted to DEFRA

EWC lines and weighed tonnage are queued to DEFRA's Receipt of Waste API — the system of record behind the Digital Waste Tracking mandate — with automatic retry if the service is briefly unavailable.

Step 5 · Duty of care, checked nightly

Every carrier and broker licence on the job is checked against the Environment Agency's public register overnight — so an expired licence is flagged before it becomes your liability, not after.

Key terms

Duty of care

Your legal obligation to verify that anyone you hand waste to is licensed to take it — checked automatically, every night, not once at onboarding.

EWC code

The European Waste Catalogue code that classifies a waste stream — assigned per line, not guessed once per job.

Consignment note

The hazardous-waste equivalent of a WTN — same engine, additional declarations, same audit trail.

Waste logging & operations

Everything that happens between the kerb and the tip

Jobs & recurring collections

One-off and standing collections in the same record — weekly, fortnightly or custom cycles that generate their own job sheet, and cancel cleanly when a contract ends.

Skip hire & asset tracking

Skips, bins and compactors tracked by type, size and current site — so you know exactly what's out, where, and on what hire term.

Weighbridge tickets

Photograph the ticket, get the gross, tare and net weight extracted straight into the job — no more transposing figures from a slip of paper.

Disposal sites & gate fees

Permit numbers, opening hours, accepted EWC codes and gate fees held per site — feeding straight into route optimisation, not left in someone's notebook.

Depots & fleet

Vehicles held with weight capacity, tail-lift capability, and MOT/tacho dates — matched automatically against a job's skills requirement before it's ever assigned.

Failed pickups, handled properly

A structured reason code, a photo, and — where the reason allows — an automatic same-day rebook, instead of a note that gets forgotten by lunchtime.

Who it's built for

One operational engine, from SMB yards to enterprise and public-sector fleets

The same routing, compliance and reporting engine runs a five-vehicle SMB yard, a two-hundred-vehicle regional enterprise fleet, or a local-authority contract — the difference is depots and users, not software.

SMB & independent operators

Independent & specialist operators

Commercial & industrial collection

Trade waste, dry mixed recycling, food waste and general commercial rounds — the recurring-schedule backbone most independent collectors are built on.

Skip hire & asset-led operators

Container tracking, on-road permit awareness and tip-run economics for operators whose stock is on other people's driveways more than it's in the yard.

Holiday parks & seasonal sites

Occupancy-linked scheduling for the sharpest seasonal peak in the sector — built around bin-store access notes and What3Words locations, not street addresses.

Enterprise & public sector

Enterprise & public sector

National & multi-depot operators

Multiple depots, shared vehicle and driver pools, and consolidated reporting across regions — one platform instance per organisation, not a spreadsheet per depot.

Local authorities & municipal contracts

Kerbside rounds, HWRC-linked duty-of-care records and trade-waste WTNs on the same engine that runs your commercial contracts — built to sit alongside your statutory reporting, not duplicate it.

Defra list checked 9 October 2026 on GOV.UK: Report receipt of waste — choose a software provider. Listed that day: Axithorn | Axiwaste; Waste Logics | Waste Logics; AMCS Group | AMCS Platform, RECY 5 and RECY 6 (exempt for certain PAT scenarios); Saunders Simmons Ltd | PaperRoute. *BigChange did not appear under that name. Defra says it has confirmed that listed providers meet the digital waste tracking requirements, that buying software is at your own risk, and that the list is not exhaustive. A dash means this page does not make a claim.

Frequently asked

Questions we hear most from waste operators

Is AxiWaste on Defra's list of Digital Waste Tracking software providers?

Yes. Defra's GOV.UK page "Report receipt of waste: choose a software provider" lists "Axithorn | Axiwaste" among the compatible providers it has confirmed meet the digital waste tracking requirements: integration with the Receipt of Waste API and passing the production approval tests. See the list.

Is Digital Waste Tracking mandatory in the UK yet?

Yes, for permitted and licensed waste receiving sites in England and Wales, where it has been mandatory since 1 October 2026. Northern Ireland and Scotland follow from 1 January 2027, and waste carriers, brokers and dealers are the next phase, planned from October 2027. Every waste receipt needs an EWC code, a weighed tonnage and a submission to DEFRA's Receipt of Waste API.

What is an EWC code?

The European Waste Catalogue code that classifies a waste stream. AxiWaste assigns the correct EWC code per waste stream from your own catalogue, with hazardous streams flagged automatically, rather than it being guessed once per job.

Does AxiWaste check carrier and broker licences?

Yes. Every carrier and broker licence on a job is checked against the Environment Agency's public register overnight, so an expired licence is flagged before it becomes a liability, not after.

How much does AxiWaste cost?

AxiWaste is priced with a platform fee plus separate office-user and driver rates, so cost scales with fleet size rather than a single flat licence fee. There's no published price list — contact us for a quote based on your fleet size and depot count.

Who is AxiWaste built for?

AxiWaste runs on the same engine for independent operators (skip hire, commercial and industrial collection, holiday parks) and larger enterprise or public-sector fleets (national multi-depot operators, local authority and municipal contracts) — the difference is depots and users, not software.

Who builds and supports AxiWaste?

AxiWaste is built and supported by Axithorn Limited, a UK Zoho Premium Partner (company number 15982267).

Can we get a simple system live quickly?

Yes. You don't need the full platform on day one — we can get a simple, working system in front of your team fast, covering bookings, digital WTNs and DEFRA submission, then add route planning, the driver app or asset tracking once you're compliant and live.

Is AxiWaste a fixed, off-the-shelf platform?

No. AxiWaste is built on Zoho's application platform, so forms, workflows, approvals and reports can be configured around how your organisation actually operates, rather than forcing your processes to fit a fixed package.

Can AxiWaste integrate with our existing finance or business software?

Yes. AxiWaste can integrate with finance packages such as Xero, Sage and QuickBooks, and with other business software you already run, so it plugs in alongside your existing systems rather than replacing them.

Does AxiWaste handle liquid and chemical waste?

Yes. Liquid waste can be logged and reported in cubic metres rather than tonnes, and chemical and other hazardous waste streams follow their own classification, consignment-note and regulatory requirements, handled natively rather than forced through a general-waste workflow.
