Bespoke waste management software, built around how you actually work

Bespoke waste management software is a system configured around your own processes, rules and paperwork, rather than a fixed package you have to bend your operation to fit. Whether you run skips, tankers, commercial rounds or a mixed fleet, the system should know your rules, not the other way round.

Why off-the-shelf waste software forces compromises

Most waste software is designed around an average operator. That is fine until your operation does something the average operator does not: stacks empty skips on one delivery run, measures liquid waste in cubic metres, runs a tanker with separate compartments, or has a customer approval step the software has no field for. The usual result is workarounds: spreadsheets alongside the system, notes in free-text boxes, and staff who know which screens to ignore.

Off-the-shelf vs bespoke: the practical difference

Worked example: a skip hire company

Skip hire shows the difference clearly, because the real logic of the job is physical. A skip lorry carries one full skip at a time, and an empty skip is a different problem to a full one. A bespoke skip hire system can encode that:

  • Log every skip by number. Each skip carries its own identity, size and type, and the system always knows which skip is on which site, on what hire term, and where it has been. See skip hire software for the standard asset tracking.
  • Stack empties on delivery runs. Empty skips can often be stacked, so the delivery logic can load several empties onto one vehicle and plan the drops as a single multi-stop run rather than one lorry per skip.
  • One full skip, then tip. Because only one full skip can be carried at a time, the route logic sequences the job as collect full, tip, then collect the next, and does not plan a second full pick-up before the first has been disposed of.
  • Pick the right tip. Disposal sites are chosen on opening hours, accepted EWC codes and gate fee, as in our route planning.
  • Paperwork as a by-product. Every exchange completes into a digital Waste Transfer Note with its EWC code, as covered in our WTN guide.

None of that is exotic. It is simply the real logic of the job, written into the system once, instead of living in a dispatcher's head.

The same approach for any specialism

OperationRules a bespoke system can encode
Skip hireSkip numbers, stacked empty deliveries, one full skip before tipping, hire terms, road permits
Liquid wasteVolumes in cubic metres rather than tonnes, tanker capacity, compartments, tip-off points
Chemical and hazardous wasteHazard classification, consignment notes, segregation, specialist driver and vehicle requirements
Commercial and recurring roundsStanding schedules, contract terms, bin lifts per site, missed-collection handling
Holiday parks and seasonal sitesOccupancy-linked schedules, bin-store access notes, peak-season frequency
Multi-depot and local authorityShared vehicle pools, consolidated reporting, statutory reporting alongside the platform

How a bespoke build works, step by step

  1. Map your process. We walk through a normal week: how a job is booked, planned, delivered, tipped, invoiced and evidenced, and note where the real rules live.
  2. Start with the essentials. Bookings, digital Waste Transfer Notes and DEFRA submission first, so you are covered for Digital Waste Tracking without waiting for a full build.
  3. Add your rules. Skip numbers, delivery logic, volume units, approvals and custom fields are configured on the platform, tested against real jobs.
  4. Connect what you already use. AxiWaste integrates with Xero, Sage, QuickBooks and other software, so you keep your accounts package and avoid re-keying.
  5. Grow by module. Add route optimisation, the driver app, a customer portal or asset tracking when you need them. See the modules list.

Why this is possible: the platform underneath

AxiWaste is built on Zoho's application platform by Axithorn, a UK Zoho Premium Partner, which is why forms, workflows, approvals and reports can be shaped to your operation instead of being locked down. Axithorn has also been approved as an official software provider by Defra and is listed on Defra's choose a software provider page, so the compliance side is covered from day one.

Quick answers

What is bespoke waste management software?

Waste management software configured around your own processes, rules and paperwork instead of a fixed package. Your skip numbers, container types, delivery logic, waste streams and approvals are modelled in the system, so staff follow one workflow that matches how the business actually runs.

How is bespoke different from off-the-shelf waste software?

Off-the-shelf software asks you to adapt your operation to its screens and rules. A bespoke system is shaped to your operation first, then connected to your finance package, so you keep what works and only automate what costs you time.

Can a bespoke system handle skip numbers and delivery rules?

Yes. Each skip can be logged by number, size and current site, and delivery logic can be encoded, for example stacking empty skips on one delivery run, or allowing only one full skip to be on the vehicle before it must be tipped.

Does bespoke mean a long, expensive build?

No. AxiWaste can start with the essentials, such as bookings, digital Waste Transfer Notes and DEFRA submission, then add your custom rules and extra modules in stages. Pricing is quoted for your fleet and requirements.

Will it work with Xero, Sage or QuickBooks?

Yes. AxiWaste can integrate with finance packages such as Xero, Sage and QuickBooks and with other software you already use, so it plugs in alongside your current systems rather than replacing them.
